UWABA Meeting: September 8th, 2009

MEETING MINUTES  9/8/09

Attendance: Tommy, Renee, Megan, Mary Ann, Jerry E, Kirsten, Jerry P, and Joyn

We’re up and running.

No objection to minutes.  Officers reports done.  No unfinished business.

Looks like no pep band to Air Force.

Worked with new band director to “float” money to pay pep band to do homecoming night before bar tour… UWABA scholarship.  We are basically helping the finances  Good way to help new band director.  This is happening.

Must get flyer out to Robbie Darnell immediately.  Renee will help.  Once again, Renee saves the day.  Last year’s schedule may have to suffice pending the athletic department figuring out the Saturday schedule.

Need volunteer to call Dooley Oil to reserve our truck.  YES – volunteer.  Kirsten Franke will do it.

HOMECOMING THEME:  “Same Ol’ Cowboys – Whole New Rodeo”.

Meghan found mints and rubber duckies.  Need to buy them so we can throw out to the crowd. Tommy moves to spend $200 on candy and decorations.  Seconded.  Bumped to approval for $250.  Seconded.  No opposition.  One abstention.  Motion passed.

Registration table needs to happen.  KKY can’t do it.  Who will join Tommy to help?  Bunch of us (Kirsten, Jerry P, and Mary Ann) 30 min. prior to arrival.  Keep one entrance to the band room locked so everyone has to go through the registration table area.  That way we can capture everyone and get money collected.

Should we do elections Friday night?  We need to open nominations to all – put it on the flyer and let every one know.  Answer is yes – Friday vote.

Friday afternoon with alumni association?  Probably, but nothing yet.

Do we want to set meal times/locations?  Hold off on that – too many people in town during Homecoming.

Meghan and Renee are going to handle getting two tickets for Dooley oil for the game (in exchange for the truck)

Do we need to do something for Belser for hosting the reception?  Yes.  Something for Belser and the new band director.  Joyn for Belser and a UW item for the new director.    Need to approve an amount of money for the UW item…$50 for a gift for Brad Williamson.  Motion approved and passed.

Update the website discussion?  Need to find someone to do it.  Andy Quinn will be wooed at homecoming.

Tommy lists all previously listed Action Items.  Reads excellently.

Action Items:

1.    Flyer: Renee will get with Brad ASAP with schedule – Tommy will send Robbie’s info to Renee

2.    Dooley Oil: Truck: Kirsten will call them to confirm the truck for the parade – we will contact Dooley with an exact time once we get one! (Give Renee’s Name as local contact) I’ll email Kirsten details for D. O.

3.    Megan will get 2 tickets for Dooley Oil

4.    Theme: Cowboy Rodeo: $250

5.    Switching to a Friday Vote at Dr. Belser’s

6.    Kirsten, Mary Ann, Jerry, and Tommy will handle registration 30 minutes prior to arrival time Saturday.

7.    Joyn is bringing gift for Dr. B

8.    $50 for Brad for a gift

(double attendance from 2006 concert).

UW Homecoming is October 12th and 13th, 2007

Action items:
Megan volunteers to draft letter to Alumni with Homecoming info.
We'll keep it generic, give Tommy's info, to get ahead of things.
New Alumni Jackets / We'll see how much interest the info letter generates
before we place the order

Jerry makes motion to allocate up to $250 for Homecoming gifts for Belsers,
Truck driver(plaque, gift certificate and football tickets), and goodies to
throw from the float. Justin seconds. Motion passes

Either Tommy or Justin will contactd Dooley Oil –
need to confirm they are donating the use of the truck for the parade.
Gotta line up KKPsi & TBS for homecoming morning breakfast

Tommy will have Rene talk to Belser ---Email so that Belser invites all
Seniors to Belser's Party the eve of Homecoming
Kirsten will check on hats shirts for Alumni in attendence

Working on website with her Sister
Wind Ensemble concert will be Saturday, April 14th
Rehearsal will be at 3pm; performance is at 7:30pm

Old business
Call campaign was a painful flop; UW is the only entity allowed to solicit alumni.  They agreed to make calls for us, but then the person in charge left things unknown.  Now we need a new connection: back to square one.  Renee will try to work her local mojo.
Also, rumor ran though the AD that we were soliciting money from alumni.
Plan is to use Robbie at the Alumni House and try again.

New business

Christ taylor to become new UW Liason

Jerry on look out for playing gigs in the area.
Wind Ensemble April is main initiative near term.
Renee/Tommy - drafting letter to Alumni to generate more interest in the April concert.

UWABA Meeting
Oct. 13th, 2006

UWABA Annual HOMECOMING Meeting
The meeting was called to order rather loudly at 8:11pm
by President Reddicks. There was no old business.

Elections:
The seats held by Joyn, Megan & Bill are up for election.
Nominations from the floor were taken:
Joyn, Megan, Bill, Renee, Jeff and Chris Taylor.
Sara moved and Joyn seconded to close nominations.
Voting was done via official UWABA ballots
– additional ballots will be accepted at the morning rehearsal
and then counted before the game.
Filling the 3 spots for the next two years are: Megan, Joyn and Renee.
Dues are a suggested donation of $15 and can be paid to Megan.
We still have jackets left from last year and they are $30.
These can also be purchased from Megan.

Jerry is arranging a song “Powder River� for the 6-Pack. Hopefully will be unveiled this spring. Go Jerry, you rock.

New Business-

Alumni List is out and will be placed on the “WAYN� Sight

Spring Concert- Jonathan/Tommy will lead getting people to play in the concert- via mailer/email/whatever options

For concert- possible rehearsal on Saturday at 4:30, dinner to follow.

Concert call at 2:15 and show at 3pm

Jonathan and Renee will check on dinner location reservations.
